Do you have previous experience within an Office Management/Business Support role? Are you interested in working for a not-for-profit organisation providing software to museums? If so, we have an exciting opportunity for you.
Modes Users Association is a not-for-profit company who own the Modes software which is used by over 680 museums for cataloguing museum collections; this makes it the most popular collections software in use in the UK today. We are about to start work on developing the next generation of our software.
We are a small organisation, and we seek a highly organised and confident Business Support Manager to assist with day to day administrative and customer service tasks.
The role: While part of a small team of three the successful candidate will be required to work independently, and they must be motivated and self-sufficient.
The successful candidate must be friendly, professional and a good communicator who is able to engage well with a wide variety of people, including members of small voluntary groups. As Business Support Manager, you will organise the day to day running of the office, dealing with customer enquiries and orders, handling customer invoices, paying bills, and ensuring that all legal paperwork associated with running a business is kept in order. A knowledge of account software is essential as you will be expected to maintain accounts, arrange payroll submissions, and submit VAT returns – currently we use QuickBooks.
We are looking for someone who would be prepared to take on the additional role of Company Secretary: taking minutes at quarterly board meetings, preparing meeting agendas and ensuring the legal requirements for company registration are maintained. An important part of our ethos is that we are owned by our membership and are a not-for-profit company.
The Business Support Manager will get to experience all areas of the business and in addition to administration and customer service, there will be opportunities to develop experience in marketing and events.
Responsibilities:
- Maintaining office systems including databases relating to our client base
- Handling phone, email and online enquiries
- Preparation of letters, and reports (including financial reports)
- Invoicing and processing bills and payments
- Assisting with event management (e.g., training, Board meetings, AGM)
- Ordering stationery and other company supplies, and managing post and deliveries
- Organising and attending meetings, and taking minutes
Requirements: You must have experience within an Office Manager /Business Support role. This is a part time role, starting at 15 hours which can be worked over a number of days, but there is the opportunity to expand the role and increase the number of hours worked.
Reward: The post is based in a pleasant modern serviced office, at Sadler Bridge Studios in the centre of Derby. The company have adopted a flexible approach to work, and therefore there will be some opportunities to work from home.
22 days of holiday + 8 bank holidays (pro-rata).
