Finance / HR Assistant – National Justice Museum
Salary: £20,000
Hours: 37.5 per week
Location: National Justice Museum, Nottingham

Purpose and Objectives
The post holder is responsible for the administration of the sales ledger, purchase ledger, cash and bank processing for the National Justice Museum and National Justice Museum Trading Company, using our booking and Sage Accounting systems. The post holder is also responsible for the setting up, operation and maintenance of systems and procedures concerning HR administration and providing day-to-day HR operational support to line managers and staff.
Main Duties and Responsibilities
- Raise sales invoices in Sage
- Data entry of bacs, credit card and cheque receipts, with related information in bookings system and Sage
- Respond to any finance queries in relation to bookings
- Credit control
- Purchase ledger processing, including matching of invoices to orders and delivery notes
- Issue and recording of all payments,
- Maintain and reconcile customer and supplier accounts
- Maintain bank accounts and perform monthly bank reconciliations
- Manage and processing of petty cash
- Reconciliation of education and corporate income
- Prepare and post intercompany balances and perform reconciliations
- Filing of accounting records accordingly
- Assist with the production of the annual audit file
- Payroll analysis, including journals to Sage system
- Monitor and report on sickness absence, absence management and return to work procedures
- Set up and take overall responsibility of BreatheHR system
- Manage HR recruitment process by supporting managers through scheduling interviews, writing to applicants, ensuring pre-employment checks, drafting offer letters and contracts, calculating holiday entitlement and scheduling inductions
- Complete exit processes and deal with reference requests
- Provide policy information to staff and deal with any queries
Person Specification
Essential
- Recent experience of Sage 50 Accounts
- CAT/AAT qualification or equivalent
- Strong attention to detail and investigative nature
- Confident self-starter who can build and sustain professional working relationships with stakeholders
- Excellent organisational skills, with the ability to work under pressure and prioritise workload
- A strong team player who is able to support all financial and control issues
- Good IT skills in Excel, Word and Outlook
- High quality customer service skills
- Good literacy and numeric skills with an ability to effectively manage and convey financial information
- Able to work independently and as part of a team
- Integrity and confidentiality
Desirable
- Experience in arts/heritage education environment
- Experience of the charity Sector
- Knowledge of Sage 50 Payroll
