Trustee vacancy – Museum of Timekeeping

The Museum of Timekeeping in Nottinghamshire is recruiting for four new Trustees to join the Board. 

Chair

The Chair/ chairperson will provide leadership and strategic direction for [Museum of Timekeeping. This role involves guiding the Board of Trustees, fostering collaboration, and representing the organisation in the community to advance its mission.

Responsibilities:

Leadership and Governance:

  • Lead the Board of Trustees in setting the organisation’s strategic direction and goals.
  • Foster a culture of ethical conduct, transparency, and accountability.

Strategic Planning:

  • Spearhead the development and implementation of long-term strategic plans.
  • Ensure alignment between strategic initiatives and the organisation’s mission and values.

Board Development and Engagement:

  • Recruit, orient, and engage board members, ensuring a diverse and skilled leadership team.
  • Facilitate effective board meetings, encouraging open communication and collaboration.

Stakeholder Relations:

  • Act as the primary liaison between the organisation and external stakeholders, including donors, government agencies, and the community.
  • Cultivate and maintain relationships with key partners and supporters.

Advocacy and Representation:

  • Advocate for the museum charity’s mission and goals in public forums and with relevant authorities.
  • Serve as the public face of the organisation, representing its interests and values.

Risk Management and Compliance:

  • Monitor legal and regulatory compliance and ensure that the organisation operates within the bounds of its bylaws and relevant policies.
  • Mitigate risks and take appropriate action when necessary.

Program and Exhibition Oversight:

  • Provide high-level guidance and support for the development and execution of programs and exhibitions.
  • Ensure alignment with the organisation’s strategic goals and mission.

Succession Planning:

  • Develop and implement a succession plan for key leadership positions within the organisation.
  • Mentor and provide opportunities for emerging leaders within the board and staff.

Communication:

  • Facilitate open and transparent communication channels between Trustees, staff and volunteers to ensure alignment with organisational goals and strategies are met.
  • Facilitate open dialogue with staff and volunteers to ensure all levels of the organisation are informed and engaged.
  • Collaborate with staff and volunteers to ensure everyone, via the Museum Manager, is well-informed about organizational initiatives, events and opportunities for involvement.
  • Monitor and evaluate communication channels for effectiveness, making recommendations for improvements and adjustments as needed to communications.
  • To act as line manager fand point of contact for the Museum Manager.
  • At act as liaison between the Museum of Timekeeping and the British Horological Institute, and foster a close working relationship between these two organsiations.

Qualifications:

  • Proven experience in a leadership or governance role, preferably in the non-profit or cultural sector.
  • Strong understanding of non-profit governance, legal, and regulatory requirements.
  • Demonstrated ability to lead and inspire a diverse team of board members and volunteers.
  • Excellent communication, negotiation, and interpersonal skills.
  • Visionary thinking and strategic planning abilities.

Treasurer

The Treasurer will play a critical role in the financial management and stewardship of the Museum of Timekeeping. This position is responsible for overseeing all financial aspects of the charity, ensuring compliance with relevant regulations, and providing strategic financial guidance to support the organisation’s mission.

Responsibilities:

Financial Oversight:

  • Manage and monitor the financial health of the museum charity.
  • Develop and implement financial policies, procedures, and controls.
  • Prepare and present regular financial reports to the board of directors.

Budgeting and Forecasting:

  • Lead the annual budgeting process, working closely with Museum Manager and other Trustees to develop accurate and realistic budgets.
  • Provide financial projections and forecasts to support decision-making.

Cash Flow Management:

  • Monitor cash flow and liquidity to ensure the organisation’s operational needs are met.
  • Recommend strategies for optimizing cash flow and managing investments.

Accounting and Record Keeping:

  • Oversee the maintenance of accurate and up-to-date financial records in conjunction with the Museum Manager.
  • Ensure compliance with accounting standards and regulatory requirements.

Financial Reporting and Analysis:

  • Prepare and analyse financial statements, including income statements, balance sheets, and cash flow statements.
  • Provide insights and recommendations based on financial performance.

Audit and Compliance:

  • Coordinate annual audits or reviews with external auditors.
  • Ensure compliance with all relevant legal, regulatory, and tax requirements.

Investment Management:

  • Oversee the management of the organisation’s investment portfolio, if applicable.
  • Make recommendations for investment strategies to achieve long-term financial goals.

Risk Management:

  • Identify and assess financial risks and implement strategies to mitigate them.
  • Establish and maintain appropriate insurance coverage for the organisation.

Board Liaison:

  • Act as the primary financial advisor to the Board of Trustees
  • Provide financial updates, analysis, and recommendations at board meetings.

Communication:

  • Facilitate open and transparent communication channels between Trustees, staff and volunteers to ensure alignment with organisational goals and strategies are met.
  • Facilitate open dialogue with staff and volunteers to ensure all levels of the organisation are informed and engaged.
  • Collaborate with staff and volunteers to ensure everyone, via the Museum Manager, is well-informed about organizational initiatives, events and opportunities for involvement.
  • Monitor and evaluate communication channels for effectiveness, making recommendations for improvements and adjustments as needed to communications.

Qualifications:

  • Proven experience in financial management, preferably in a non-profit or charitable organisation.
  • Strong knowledge of accounting principles, financial reporting, and regulatory compliance.
  • Excellent analytical and problem-solving skills.
  • Proficiency in financial software and Microsoft Office Suite.
  • Strong communication and interpersonal skills.

Governance and legal

The Legal Advisor will be responsible for providing comprehensive legal advice and support to the museum charity, ensuring compliance with all relevant laws and regulations. They will play a crucial role in safeguarding the organisation’s legal interests, managing contracts, and providing guidance on various legal matters.

Responsibilities:

Legal Consultation and Advisory:

  • Provide expert legal advice on a wide range of issues including contracts, intellectual property, employment law, and regulatory compliance.
  • Offer guidance on legal implications of various business decisions and initiatives.

Contract Management:

  • Draft, review, and negotiate contracts, agreements, and legal documents.
  • Ensure contracts are in compliance with relevant laws and protect the interests of the museum charity.

Compliance:

  • Monitor and ensure compliance with all relevant laws, regulations, and industry standards.
  • Keep abreast of changes in legislation that may impact the museum charity.

Intellectual Property and Copyright:

  • Advise on intellectual property matters, including copyright, trademarks, and licensing agreements.
  • Assist in protecting and enforcing the museum’s intellectual property rights.

Litigation and Dispute Resolution:

  • Liaise with external counsel when necessary and manage legal disputes or litigation involving the museum charity.
  • Provide guidance on potential legal risks and mitigation strategies.

Policy Development and Implementation:

  • Contribute to the development and review of organisational policies to ensure legal compliance and best practices.
  • Build and maintain relationships with external legal partners and regulatory bodies.

Communication:

Qualifications and Skills:

  • A qualified lawyer with a valid license to practice law in the relevant jurisdiction.
  • Experience in a legal role, preferably with experience in non-profit or charitable organisations.
  • Strong knowledge of relevant laws and regulations pertaining to non-profit organisations, charities, and museums.
  • Proven experience in contract negotiation, drafting, and review.
  • Familiarity with intellectual property and copyright laws.
  • Excellent legal research and analytical skills.
  • Ability to communicate complex legal concepts in a clear and concise manner.
  • Experience in policy development and implementation.
  • Highly ethical and committed to upholding the highest standards of legal practice.
  • Strong attention to detail and accuracy.

Human Resources

The Human Resources Manager will play a pivotal role in the management and development of the museum charity’s human resources. This position is responsible for all aspects of HR operations, including recruitment, employee relations, performance management, and compliance with employment laws and policies.

Responsibilities:

Recruitment and Onboarding:

  • Lead the recruitment process, including job postings, resume screening, interviews, and reference checks in conjunction with the Museum Manager.
  • Oversee the onboarding process for new hires, ensuring a smooth transition into the organisation.

Employee Relations:

  • Act as a point of contact for employee questions, concerns, and conflicts.
  • Provide guidance on HR policies and procedures, and address employee relations issues in a timely and fair manner.

Performance Management:

  • Implement and oversee the performance appraisal process, including goal setting, feedback, and development planning.
  • Work with managers to address performance issues and provide coaching and support.

Training and Development:

  • Identify training needs and coordinate professional development opportunities for staff.
  • Organize and facilitate workshops, seminars, and other learning activities in conjunction with the Museum Manager.

Policy Development and Compliance:

  • Develop and update HR policies and procedures in compliance with employment laws and regulations.
  • Ensure that the organisation maintains a safe and inclusive work environment.

Compensation and Payroll:

  • Assist, along with the Treasurer and Museum Manager, in the development and management of the compensation structure and salary scales.
  • Collaborate with finance to ensure accurate and timely payroll processing.

HR Reporting and Documentation:

  • Maintain accurate HR records, including personnel files, attendance records, and training documentation.

Legal Compliance and Risk Management:

  • Stay current with employment laws and regulations, and ensure compliance in all HR activities.
  • Provide guidance on legal matters related to HR, and work with legal counsel as needed.

  • Develop and implement initiatives to promote diversity, equity, and inclusion within the organisation.
